In an industry known for complex systems, strict compliance, and evolving digital expectations, a leading provider in the Aged Care and Retirement Living sector was managing operations across 30 sites with aging ERP system. They are known for their commitment to quality care and operational excellence. However, like many organisations in this sector, they faced a looming challenge that threatened their ability to maintain secure, efficient, and scalable systems—an outdated ERP platform approaching end-of-life serving over 150 users across Australia.
The Problem
The primary issue the client encountered was the imminent end of Microsoft Navision 2015 support. This legacy platform was not only posing cybersecurity risks but also limiting integration with modern tools, creating inefficiencies, and impacting reporting stability. This was significant because it increased risk exposure, limited performance visibility, and hindered their progress toward delivering on their digital transformation agenda and improving the end-user experience.
Actions Completed
To tackle this critical issue, the client hired Milestones Technology Group (MTG) (Parent company of Your PMO Partner). Together, we delivered several key milestones:
- Developed the ERP upgrade business case for Board approval, outlining technical risks, strategic benefits, and investment justification.
- Established the project governance model, delivery plan, and comprehensive risk register to ensure structure and transparency.
- Provided CIO Advisory oversight and Project Oversight to maintain alignment with business strategy, manage vendor engagement, and support the project team.
- Oversaw full migration to Microsoft Business Central, including data, customisations, and third-party system integrations.
- Oversaw the delivery of user guides and training for over 150 users across geographically dispersed sites.
These strategic actions were designed to address the risk of operating on obsolete technology and to future-proof the client’s core systems—ultimately supporting stability, scalability, and user satisfaction.
Business Outcome
As a result of these strategic interventions, the client experienced outstanding outcomes. The ERP cutover was delivered on time in February 2025. First month-end was completed successfully with fewer than 10 support tickets—an extraordinary result for a full-platform upgrade.
End-user adoption was strong due to clear training materials and proactive communications. Integration with reporting systems was restored, and a backlog of future enhancements was documented and prioritised.
These results exceeded expectations and laid the foundation for continued digital growth, moving the organisation closer to its long-term goal of delivering a seamless, secure, and scalable user experience.
“I wanted to pass on another thank you to you……..we have achieved some significant milestones in our project – and I have been reflecting on what a wonderful job you did with our set up…………and today I firmly believe our project is a success because of the structure and governance you initially put in place. Thank you for setting us up for success!
